Position: Program Assistant 


Reports to: Sports for Development Officer


Supports: Coaches, Executive Director


Job Purpose

The Programs Assistant (PA) provides operational, administrative, and logistical support to Bhubesi Pride Foundation (BPF) Sports for Development Officer (S4DO) to ensure smooth implementation, monitoring, and reporting of BPF programs. This role contributes to effective program delivery by assisting with coordination, documentation, and communication tasks.



Key Roles and Responsibilities


1. Program Support

  • Assist in the day-to-day coordination and administration of program activities under the supervision of the S4DO.
  • Support data collection, entry, and preliminary analysis to facilitate monitoring and evaluation processes.
  • Help organize and document program meetings, trainings, workshops, and community events.
  • Assist the S4DO in scheduling, supervising & monitoring coaches, and managing sports for development program logistics.
  • Maintain accurate and up-to-date program records, reports, and filing systems.

2. Administrative and Logistical Support

  • Coordinate communication between BPF staff, partners, and stakeholders to ensure timely information flow.
  • Assist in preparing program materials, presentations, and reports as required.
  • Support procurement and inventory management of program supplies and sports equipment.

3. Monitoring, Evaluation, Accountability & Learning (MEAL) Support

  • Aid in collecting and compiling monitoring data from program sites.
  • Support the S4DO in preparing weekly, monthly, quarterly and annual progress reports and documenting lessons learned.
  • Assist in ensuring compliance with organizational policies and donor requirements related to program implementation.

4. General Duties

  • Provide general office support to the Programs team, including filing, photocopying, and correspondence management.
  • Perform any other duties as assigned by the S4DO to support program effectiveness.

Qualifications, Skills, and Experience

  • Minimum of a Diploma in Social Sciences, Development Studies, Project Management, or related field, preferable first degree.
  • At least 2 years of experience in program support, preferably within an NGO or community development setting.
  • MEAL practical experience and knowledge.
  • Strong organizational and communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to multitask, work under supervision, and meet deadlines.
  • Willingness to travel to program sites as needed.
  • Fluency in English and Chichewa is preferred.
