Location: Majete Wildlife Reserve, Chikwawa
Status: One-year contract subject to renewal based on performance
African Parks (AP) is a not-for-profit organization that secures a mandate to conserve through Public Private Partnerships with Governments and communities for the rehabilitation and long-term management of protected areas in Africa, and here in Malawi, AP has secured this mandate for the management of Majete Wildlife Reserve, Liwonde National Park and Nkhotakota Wildlife Reserve.
An opportunity has arisen for the post of Assistant Lodge Manager tenable at Majete Wildlife Reserve in
Chikwawa
The Assistant Lodge Manager will directly report to the Commercial Manager but also work dosely with other departments as required. Based at Thawale Lodge the Assistant Lodge Manager will oversee Operations at the lodge, Membezi Restaurant, Game Capture Camp, Mwembezi Gorge Bush Camp, Majete Conference Centre, and assist with other events that are arranged on the reserve.
Duties & Responsibilities Include (but not limited to):
Lodge Management.
- The main role of Assistant Lodge Manager is to assist the Assistant Tourism Manager, Tourism Manager (TM) and Commercial Manager (CM) in running of tourism operations on Majete, with a primary base at Thawale Lodge. This includes helping with, but not limited to the following:
- Delivery of a world class tourism product synonymous with African Parks
- Daily running of the lodge and camps
- Ensuring guest accounts are managed correctly and funds are being recovered.
- Maintain service deliver by staff in all departments at a very high standard by checking rooms daily.
- Checking grounds, rooms and Front of House Daily
- Checking the water hole and ensuring regular maintenance thereof and the pump
- Adherence to the budget when procuring items.
- Oversee Resrequest and TallOrder – ensuring accuracy and completion.
- Maintenance monitored and actioned effectively and timeously.
- Delivery of quality meals and beverages
- Assist with recipe costing and menu planning, including seasonal adjustments.
- Assisting with cost effective sourcing of supplies for tourism department
- Management of all camp staff including refresher training and upskilling
- Daily hosting of all guests arriving at the lodge including safety briefings.
- Ensure the Fire Management register is kept up to date for all tourism departments.
- Understand how to manage an emergency – protocols.
- Help the TM with stock taking and stock control on a daily basis.
- Management of the assets and infrastructure of the lodge.
- Update notice boards.
Campsite management
- Daily management of the campsite staff
- Assist with management of the assets and infrastructure of the campsite including stock takes.
- Maintain service deliver at a very high standard.
- Maintenance conducted effectively and timeously.
- Housekeeping and grounds maintained at a very high standard.
- Assist with camp audits.
- Update notice boards.
Mwembezi Gorge Bush Camp
- Ensuring daily deaning and maintenance has been executed by Assistant Tourism Manager
- Ensure all equipment is working and on/off based on bookings.
- Ensure waterhole is being managed correctly and pump working.
- Ensure camp is ready for guests and night housekeeper/ camp attendant assists where required – lighting fire, showing them where everything is, etc.
- Checking waterhole and pump are dean and not blocked with debris.
Visitor centre, Restaurant and other camps
- Assist with management of the visitor centre staff.
- Assist with management of the asset and infrastructure of the centre, including maintenance of all tourism vehides.
- Assist the Commercial Manager in procurement and sufficiency of good quality stock in the shop.
- Management of the food outlet and bar at the centre to ensure good quality products being produced, service excellence, stock availability, cleanliness, maintenance, etc.
- Ensure pre-planning of stock requirements to reduce driver delivering goods.
Update notice boards.
- Assist with recipe costing and menu planning, including seasonal adjustments.
- Ensure regular audits and maintenance is done at other camps to ensure a high standard of guest experience is maintained.
Marketing and Reservation function
- Take initiative in recommending and implementing new activities within the reserve.
- Monitoring guest feedback and reporting to Commercial Manager any action that may need to be taken.
- Host Tour Operators when applicable.
Logistics
- Assist when required with logistics and procurement of lodge supplies to ensure sufficient stock is available.
- Assist with sourcing cost effective suppliers in-country and in South Africa – ensuring a reduction in food costs from year prior.
- In country logistics for guests where required
- Assist with proactive planning and procurement for events.
- Assisting with the coordination and management of events on the day
- Ensure rosters are determined by occupancy – ensuring we have sufficient staff on duty.
- Reporting and documentation – work closely with finance team and Commercial Manager
- Weekly roster completed ensuring staff time is maximised across the department.
- Leave forms are managed, signed by HOD and CM and submitted to HR.
- Comprehensive stock management
- Monthly staff attendance report – ensure accuracy.
- Assist TM with weekly camp and site audits.
- Make TM aware of any cost changes that may affect the selling price of items.
Management of waste disposal
- Ensure guests safety and enforce emergency evacuation procedures in case of an emergency.
- Help in purchase planning and be involved in shopping when required.
- Help in developing and promoting new activities within the reserve.
Qualifications, Knowledge And Experience:
- Minimum of diploma in Tourism and Hospitality Management obtained from a recognized institution.
- Malawi School Certificate of Education.
- Computer literate
- Experience working on a computerised stock management system
- Strong leadership skills
- Strong interest in wildlife conservation.
- Minimum of 3 years of similar experience.
- Ability to work under pressure when multiple evens are happening simultaneously
- Good English skills (written and spoken).
- Good attention to detail and ability to identify problems.
- Good Financial Skills
- Ability to adapt and work flexibly in our environment.
- Excellent communication skills particularly with kitchen staff and other departments.
- Strong computer skills, particularly in MS Excel and preferably in Tall Order and MyStock
