Position: Provider of QuickBooks Training services
1.0 Background
The Economics Association of Malawi (ECAMA) is a professional body of economists and other interested parties which encourages open proactive debate and policy dialogue on pertinent economic issues to influence policy decision making in the country. It was established on 27th February 1999.
2.0 Objective of the Training
The objective of the training is to equip all participants, most of who are beginners, with skills for them to be able to expertly use and navigate QuickBooks Online. Upon completion of the training, participants should be able to:
- Set up budgets, track actuals against budgets, and report in variances.
- Generate various financial reports for management, donor-funded projects, grants, and consultancies.
- Allocate expenses across multiple programs.
- Post income and expenses by fund.
- Manage cash advances given out.
- Track details of cash and bank transactions.
- Create companies.
- Create charts of accounts, sub-accounts, and editing.
- Track income and expenses i.e. make deposits, write QuickBooks cheques, and assign amounts to specific expense accounts.
- Generate membership invoices for institutions and individuals.
- Set up a membership database.
- Reconcile a QuickBooks chequing account.
- Enter bills into QuickBooks accounts payables and receivables.
- Set up inventory and building finished goods.
- Enter the bank accounts, petty cash, and opening balances.
- Produce basic profit and loss statements by month and program.
- Produce cashflow statements, trial balances, and balance sheets.
3.0 Qualifications and requirements
The training shall be delivered by skilled trainers who have vast knowledge and experience as experts in the accounting field and have the following qualifications:
- Bachelor’s degree in accounting
- Be a Certified Public Accountant duly registered with the Institute of Chartered Accountants in Malawi (ICAM).
- Should have been in operation for a period of at least five (4) years.
- Should demonstrate that the individual/firm has the capacity, capability, and experience required to undertake the training within required timelines
- The quality of the firm’s professional personnel to be assigned to this assignment, and the quality of the firm’s management support personnel should be available for technical consultation.
4.0 Proposal submission
Interested firms or individuals are to submit their technical and financial proposals to secretariat@ecamw.com by 16:30 hours on 15th June 2026.
The technical proposals shall be evaluated based on the following criteria:
- Confirmation of the individual or firm’s understanding of the Terms of Reference (TORs) and capacity and capability to deliver on the TORs.
- The methodology, work-plan, and timelines for undertaking and completing the assignment.
- Appropriate references (minimum of 2) to demonstrate the experience specified in the TORs.
- The Curriculum Vitaes of key personnel proposed to carry out the assignment.
- The individual or firm’s experience in QuickBooks training.
5.0 Delivery method
The training will be conducted in person at the ECAMA Secretariat. The trainer/s shall be expected to provide participants with all necessary training materials (notes, slides, handouts, etc.) for the duration of the training period as well as certificates to all participants upon completion of the training. The trainer/s shall also be expected to avail themselves, whenever needed, for post-training technical consultation and provide post-training assessments to the participants.
6.0 Terms of Payments
Payment of the training shall be made in accordance on the agreed amount two (2) working days after the completion of the training.
7.0 Duration of Contract
The trainer/s shall be expected to complete the assignment within two (2) working days starting from 25th to 26th June 2026.
